Projects

The Projects product in GEP QUANTUM helps you achieve goals like reducing product costs, improving delivery performance, and increasing stakeholder satisfaction. Moreover, with the fully configurable, rules-based approval workflows and the ability to capture and track data points unique to your organization, Projects ensures collaboration and synergy between your procurement and finance teams.

In this release, 11 features/enhancements have been added to Projects.

Enhanced Navigation from My Task Page

With this release, clicking on a Milestone or Activity assigned to you from the My Task page directs you to the exact Milestone/Activity in the Project document’s Detail View of the Milestone and Activity tab.

 

Persistent Save Button in Milestone & Activity Detail View

With this release, the Save button in the Milestone and Activity detailed view will remain fixed and visible even when scrolling. This ensures you can easily save changes without scrolling back to the top. The fixed position also applies to the Milestone and Activity creation pages, providing a consistent and clear user experience.

 

Advanced Filtering on Milestone and Activities

With this release, the Grid View of the Milestone and Activities tab now supports advanced filtering using Milestone and Activity fields. These filters allow both search-based and value-based filtering. Additionally, filters applied in the Grid View will persist across to the Detail View, and vice versa.

 

Introducing New PPI Index Columns

Introducing New Inbound Based Notification

With this release, a new notification template ‘PPST-177-PPST_216_Inbound_Details_Updated’ is introduced with the following details:

  • The current Project Owner receives email notifications whenever the values of the BAO and Criticality columns in the Relationship Details section of the Project document change.

  • Notifications are triggered, including when the field changes from Blank to populated or vice versa.

  • You can display certain columns or the entire Relationship Details grid in the notification via global codes.

Controlled Access to ‘Flip to Project’ Based on IRF Status

With this release, the Flip to Project button is now governed by the status of Internal Risk Forms (IRF) under the Risk Assessment section. The button will only work when the IRF meets the required pre-defined status. If the forms are not yet in the correct status, clicking the button displays a message, Project Request cannot be flipped into a Project until Risk Form(s) under the Risk Assessment section are in status 'Response Submitted' or 'Approved’.

 

PAP – Introduction of a ‘New Super Admin’ Activity to Override Validations

With this release, a new Super Admin activity is introduced, enabling you to override the Budget Guideline and Freezing Period validations enforced on the PAP Document. Users assigned this activity can:

  • Edit Actual Savings, Actual SOP Date, and update the PAP status regardless of whether the Freezing Period is ongoing or completed.

  • Modify PAP document fields even if the Budget Guideline validation is active.

  • You can perform these actions through both UI and Utility.

Enhancements to ‘Bill of Material’ Master

With this release, any changes made at the Component level within the Bill of Material (BOM) Master, such as adding or deleting components, are automatically reflected in the Project Document upon refreshing the BOM section.

These updates are seamlessly propagated across multiple sections, including:

  • Line Item section

  • Variant Grid

  • Component Grid

  • L2 Milestones

 

Introducing New Status for Project Request

With this release, a new custom status, Assigned, is introduced in the Project Request workflow. When the Request Coordinator adds or selects a Request Assignee in the Project Request document, the status automatically updates to Assigned. Until an assignee is designated, the document remains in the Assignment Pending status. Also, the tasks created for the Request coordinator and Request Assignee are reflected in the Assignment Pending, Assigned, and In Progress Task cards.

 

Introduce Refresh Button in ‘Bill of Material’ Section

With this release, when you refresh the Bill of Material section, any changes made to BOM quantities in the Item Master are automatically updated in the Project Document. This ensures consistency and accuracy of BOM data across the application. In addition to the BOM section, this refresh triggers corresponding updates in the following areas of the Project Document:

  • Line Item section

  • Component Grid

  • Variant Grid

 

Auto-Retriggering of System-Generated Milestones

With this release, if any system-generated Milestones are deleted, they are automatically re-triggered upon the next Project save, provided the predefined rule conditions are still met. Additionally, if any Activities were previously associated with those Milestones, they are re-triggered as part of this process.

Configuration Details:

  • Setting Name: Re-trigger the deleted System-generated Milestone/s

  • Description: Enable this setting to allow re-trigger of system-generated Milestone/s that were deleted. Activities associated with the deleted Milestone/s are re-triggered as they were deleted.

  • Required Value: True/False (Toggle Button)

  • Default Value: False
